Asana (via Zapier)

Turn each TeamsMaestro meeting summary into an Asana task. The summary and meeting link go with it, so follow-ups land in the project where the work is tracked instead of sitting in someone's notes. It runs through the TeamsMaestro app for Zapier.

How it works

When TeamsMaestro finishes summarizing a meeting, the Zap creates a task in Asana. You choose the workspace, project, and assignee once, and every matching meeting after that becomes a task with the summary and a link back to the meeting.

A common setup is one project per client or initiative, with the meeting owner as assignee. The task becomes the place to tick off what was agreed, and anyone can open the meeting link for the full context.

Pick which meetings run it. The trigger has optional filters for the meeting title (contains, starts with, or matches exactly) and for the host or participants. You can combine conditions and run the Zap when any of them is met.

Set it up
  1. Open the template and sign in to Zapier. Connect your TeamsMaestro account, which shows up in Zapier as AI TeamsMaestro.
  2. Keep Meeting Summarized as the trigger, and add filters if you only want some meetings.
  3. Test the trigger. Zapier loads a recent meeting from your account so you can see the fields: title, platform, start and end times, organizer, attendees, summary, and action items.
  4. Connect Asana and choose the workspace and project.
  5. Set the task name, for example "Follow-ups: " plus the meeting title, and map the summary and meeting link to the description.
  6. Pick an assignee, and add tags or followers if you use them.
  7. Run a test, check the task in Asana, and publish the Zap.

Frequently asked questions

Does it create one task per action item?

No. It creates one task per meeting, with the summary and meeting link. That keeps your project from filling up with small tasks after every call.

Can different meetings go to different Asana projects?

Yes. Set up one Zap per project and use the meeting title filter to route each meeting, for example titles that contain a client name.

Do I need a paid TeamsMaestro plan?

Yes. Zapier integrations are included on the Pro, Team, and Enterprise plans. They are not available on the Free plan.
